Your privacy and operational data security are fundamental to CodeSpan Digital. We will never sell, rent, or unauthorizedly disclose your business or customer data.
We never sell your personal information or enterprise database contents. All business metrics, customer entries, inventory records, and financial ledger data stored across our SaaS modules (BillSpan, StockSpan, PeopleSpan) belong strictly and exclusively to you.
01Information We Collect
We collect information necessary to provide high-reliability SaaS tools and custom cloud software services:
- Account Information: Name, work email address, company name, telephone number, billing address, and authentication credentials when creating an account or requesting sandbox demonstrations.
- Customer Data: Data ingested, uploaded, or transmitted through your authorized use of CodeSpan applications (e.g., inventory catalog items, invoices, CRM deal pipelines, HR employee records).
- Technical & Telemetry Data: IP addresses, browser types, operating systems, request timestamps, and system latency metrics utilized solely to detect anomalies, prevent distributed denial-of-service (DDoS) attempts, and maintain uptime SLAs.
02How We Use Information
We use collected information solely for legitimate business operations and platform execution:
- Provisioning, maintaining, and scaling your SaaS modules and dedicated VPC environments.
- Processing subscription billing, software licenses, and invoice settlement.
- Delivering critical security patches, feature upgrades, and planned maintenance notices.
- Providing technical support through dedicated WhatsApp, Slack, and email communication channels.
- Ensuring compliance with our Terms & Conditions and relevant data protection regulations.
03Security & Encryption Standards
CodeSpan Digital enforces state-of-the-art security controls across every layer of our network and database infrastructure:
All web sessions use TLS 1.3 encryption. Stored databases and file volumes are encrypted using AES-256 with rotating cryptographic keys.
Automated snapshots are captured nightly and replicated across geographically redundant cloud regions with point-in-time recovery.
We implement granular Role-Based Access Control (RBAC), multi-factor authentication (MFA), and audit logging to verify that only authorized members of your team can access sensitive resources.
04Third-Party Infrastructure & Sub-Processors
To provide enterprise cloud reliability, we partner with industry-standard, SOC 2 compliant infrastructure and payment processors:
- Cloud Hosting: Amazon Web Services (AWS), Google Cloud Platform (GCP), DigitalOcean (dedicated VPCs available).
- Payment Gateways: Stripe, PayPal, and verified local payment settlement rails (all PCI-DSS Level 1 certified; CodeSpan never stores raw credit card details).
- Transactional Communications: Resend and SendGrid for automated receipts, invitation emails, and password resets.
05Cookies & Local Storage
We use strictly essential cookies and secure HTTP-only session tokens to maintain your authentication state and preferences across page visits. We do not employ intrusive cross-site third-party advertising trackers or sell tracking data to data brokers.
06Your Data Rights & Exportability
You retain complete ownership over all data stored within your CodeSpan tenant. At any point during your subscription or upon contract termination, you may request a complete export of your database in standard SQL, JSON, or CSV formats.
You also have the right to request deletion of personal account records (the "Right to be Forgotten"), subject to legal retention obligations for financial and tax audits.
